CUSTOM-BUILT SHIFT AUTOMATION
We shape the software
to your way of working.
No need to bend your operation around an off-the-shelf tool. Work rules, schedule sheet format, the terms your site uses: we build the shift automation around all of it.
Consultation and quote are free. We never ask you to sign on the spot.

01 THE PROBLEM
Somewhere past 40 people,
Excel hits its limit.
Is the same work eating the same hours every single month? Building shifts by hand always gets stuck in the same four places.
Collecting days off
Asking one by one, in person or by chat, then copying it all by hand. The bigger the team, the more days it takes just to gather.
Legal checks
Counting consecutive days and weekly hours by eye. A missed one only hurts after the month is over.
Hitting headcount
Recounting whether each day has enough people, then fixing it again. Some weekdays end up overstaffed.
Starting over
One change breaks the days around it — back to square one. And when someone calls in sick, there's no time to redo it.
02 HOW IT WORKS
Employees only send their days off.
Four steps later, it's published.
STEP 01
Employees just send their days off
A few seconds on their phone. Nobody builds their own shift. They can mark a day off as fixed or flexible, and edit it any time before the deadline.
STEP 02
A full month, generated automatically
A deterministic algorithm, not an AI guess. It respects days off and your rules while bringing each day's headcount close to target.
STEP 03
Adjust it in the sheet you already know
Employees × days, laid out just like your current Excel. Tap a cell to switch work / off and try things as a draft as many times as you like. Employees see nothing until you publish.
- Work
- Off
- Changed by manager
STEP 04
Publish, and everyone is notified
Publishing notifies employees. Days changed by a manager are highlighted, and the employee can accept or refuse them (with a reason) on the spot. Anyone who hasn't submitted by the deadline is flagged on the manager's screen.

03 CUSTOMIZATION — WHAT WE DO BEST
It's not you who adapts.
It's the software.
There are as many ways to build shifts as there are companies. So ShiftSystem doesn't stop at feature toggles. We build it around your site.
Work rules
Max consecutive days, weekly hours, minimum working days, breaks and half days — configured exactly as your work regulations say.
Your sheet format
Exports in the same layout as the Excel schedule you use today. Print it and pin it to the wall as always. Nothing changes on site.
Your site's words
Shift names, departments, job titles. The screen uses the words your team already uses, so it needs no explanation.
Screens and flow
The totals you want to see, sort order, required fields, approval order. Shaped so daily users never get lost. Features you don't use aren't there.
Under your brand
Your logo, your colors, your own subdomain (example.shiftsystem.jp). It feels like an in-house system, not an outside service.
Your industry's reality
Logistics, warehousing, retail, food service, cleaning, security, care. Any site with rotating shifts, shaped to that industry's norms.
"Can it work the way we do things?"
Answering that is what the first [30 minutes] are for. Show us your current schedule and we'll tell you on the spot how much can be automated.
04 SAFEGUARDS
A schedule that breaks the rules
simply can't be published.
The check runs on the server and blocks the publish button itself. So "we published it without noticing" can't happen.
When a day can't reach its target headcount, it shows exactly which day and why. If it truly can't be filled, it tells you the reason plainly.
VALIDATED SERVER-SIDE
- At most 5 consecutive working daysMAX 5
- Never over 60 hours a week (Sun–Sat)60h
- Published days change only through an approved requestREQUEST
- Weeks and streaks across months checked correctlyCROSS-MONTH
Sep 14: 10 people against a target of 12
Fixed days off overlap, so this day can't be filled further. There are 2 flexible days off that could move.
In this state, the Publish button is disabled
TRY IT
Try to break a rule
Tap a cell to switch between work and off. The moment a rule is broken, publishing stops.

Review05 BUILT FOR THE FLOOR
Everyone on site uses it
in their own language.
The app speaks 日本語, English and Português, and each employee picks their own. Sites with many international staff get no extra explaining or translating. Try it on the left: switch the language of the same screen.
Nothing to install
Just open it in the browser. Add it to the home screen and it launches like an app.
In-app notices
Published schedules, change notices and acceptance requests land in the app's Notices. Invitations and password resets go by email.
Straight to Excel
Same layout as your current schedule. Printing and posting it stays exactly the same.
06 SECURITY
What we hold is people's time.
Designed around Japan's personal information law (APPI). Data is stored in the Tokyo region.
Each company fully isolated
Your data never mixes with another company's. Row-level access control makes it impossible to even read.
Not even we look inside
Personally identifiable data is not viewed by the operator by design. All we see are aggregate usage numbers.
Critical logic runs on the server
Deadlines and rule checks never rely on the browser alone. Every action is logged, so you can always trace who changed what, and when.
07 PRICING & GETTING STARTED
Pricing that fits what we build.
We quote after learning your headcount and how much needs to be built. We don't show a price list first because we don't want you paying for features you won't use.
01
Consultation (free)
[30 min], online is fine. Show us your current schedule and the rules you follow.
02
Proposal and quote (free)

We generate a full month from your actual roster for you to review before going live.
As a guide, a standard setup takes [〇 weeks] and costs about [¥〇/month + ¥〇 setup]. This depends on your actual conditions and is fixed in the quote.
